Privacy policy
Spare Tyre is a participatory arts organisation registered as a Charity with registration number 273418, and registered as a company under the number 1301049 in England and Wales. We are resident at The Albany, Deptford London, SE8 4AG.
We understand that your personal information and privacy is important to you. We make every effort to ensure that the information you share with us is recorded accurately, retained securely and used only according to your wishes. We protect your personal information and adhere to all current data protection act legislation with respect to protecting privacy. We do not give out, sell or trade our mailing list data with external organisations. We comply with the Data Protection Act (1998), the Privacy and Electronic Communications Regulations (2003) and as of 25th May 2018 the new General Data Protection Regulations (EU2016/679).
What data we collect and how we use it
Spare Tyre collects personal data that you may volunteer as part of booking events, via a donation form, or e-newsletter sign-up. Personal information we collect may include:
· your full name and title, date of birth and gender
· postal address, postcode, email address and phone number
We will also collect and hold information about any contact you have with us as an event attendee, visitor, or donor/supporter of Spare Tyre, which may include details of:
· event attendance or by buying tickets to our shows (if applicable)
· donor status, including payment details where applicable
· contact preferences
· gift information, including payment details (if applicable)
· Gift Aid status
· details of correspondence sent to you, or received from you
· any other information provided by yourself at the request of Spare Tyre to process a transaction
When we ask you to provide your personal information we will let you know why we are asking, and how we will use your data, by directing you towards this notice.
Depending on your relationship with Spare Tyre, and the preferences you have indicated, data we hold may be used to send you promotional, marketing, or fundraising information by post, telephone or electronic means. These types of communications can include:
· Informing you of other products, services or events related to Spare Tyre, such as exhibitions, performances and events
· News and updates about Spare Tyre and marketing or supporter e-newsletters
· Information on our fundraising operations, including occasional targeted requests to consider supporting us in various ways
· Other relevant communications based upon your relationship with Spare Tyre
The Legal Basis for our activities
There are three bases under which we may process your data:
Contract purposes
When you make a donation to us, or a purchase from us, you are entering into a contract with us. In order to perform this contract we need to process and store your data. For example we may need to contact you by email or telephone in the case of cancellation of a show/event, or in the case of problems with your payment.
Legitimate business interests
In certain situations we collect and process your personal data for purposes that are in our legitimate organisational interests. However we only do this if there is no overriding prejudice to you by using your personal information in this way. We describe below all situations where we may use this basis for processing.
With your explicit consent
For any situations where the two bases above are not appropriate, we will instead ask for your explicit consent before using your personal information in that specific situation.
Marketing communications
We aim to communicate with you about the work that we do in ways that you find relevant, timely and respectful. To do this we use data that we have stored about you, such as what events you have booked in the past, as well preferences you have told us about.
We use our legitimate organisational interest as the legal basis for communications by post and email. In the case of postal mailings, you may object to receiving these at any time using the contact details at the end of this policy. All marketing communications include an option to unsubscribe at any time.
Fundraising
Spare Tyre is a registered charity and we rely on charitable support and voluntary income to maintain our work and attract and engage participants and audiences. This work is supported by individuals, trusts and foundations, companies and statutory bodies. We target our fundraising activities to ensure that we contact donors and prospect donors appropriately. To do so, we may use simple research methods to profile supporters and to identify shared interests and connections through Google, articles, websites and websites of companies such as LinkedIn, and from other publicly available information.
We may also obtain information from individuals working on our behalf such as our Board. Such information helps us better understand the interests of people who engage with us, and aids us in making appropriate fundraising approaches to those who will be most interested and most able to support our work. If we have identified a specific company or trust and foundation through our research, we may contact the people specifically connected to these bodies via publicly available contact information, such as a relevant work email address. If we identify an individual, we may contact them via phone or by post. As a charity, we believe that this is in the legitimate interest of our fundraising needs. We will always ensure we conduct a legitimate interest assessment to ensure that we are not infringing on your rights.
We ask our supporters for permission or preference for appropriate accreditation online on our website, and in our annual review. We also respect the rights to anonymity if the donor so requests.
You can opt out of your data being used in this way by emailing info@sparetyre.org. We respect anyone’s right to withdraw their consent from this form of electronic communication and once informed of a preference change, we will stop this form of contact. We are committed to fundraising best practice and abide by the Fundraising Regulator’s key principles and behaviours of a fundraising organisation: to be legal, open, honest and respectful. We undertake to comply with relevant law and regulations, including the Proceeds of Crime Act, Data Protection, Tax and Gift Aid legislation and Charity Commission guidance.
Your rights
We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate. If you wish to exercise any of your rights, as indicated by the ICO please write to us at info@sparetyre.org.
If you make a request relating to any of your rights, we will consider each request in accordance with the General Data Protection Regulations. No administration fee will be charged for considering and/or complying with such a request and a response will be provided within 30 days.

Security and Sensitive personal data
Once we have received your personal data, we will use strict procedures and security features to try to prevent unauthorised access. We will process, disclose or share your personal data only if required to do so by law or in the good faith belief that such action is necessary to comply with legal requirements or legal process served on us or our website.
Data Protection law recognises that certain categories of personal information are more sensitive such as health information, race, religious beliefs and political opinions. We do not usually collect this type of information about our patrons unless there is a clear reason for doing so. As an example, we collect health information about participants in our programmes and courses used anonymously and only for monitoring purposes and reporting to our funders.
Third party links
You might find links to third parties (e.g. external creative organisations and suppliers) on our website. These organisations have their own privacy policies, however we exercise due diligence and carefully chose trusted third parties who strictly comply with current laws around data protection. In cases when we use external websites provided by other organisations such as Twitter, YouTube or Facebook, then we would ask you to consult their privacy policies.
Cookies
Google Analytics: Many organisations use this popular analytics package with their website to observe statistics and adapt online services. We do use cookies to trace traffic anonymously through our website, where the data is collated on the Google Analytics webpage. Our website Content Management system issues one cookie (CraftSessionId) which contains a unique ID to help recognise when an anonymous user attempts to log in. This cookie contains no personally identifiable information.
Mailing List
We use a third party provider Campaign Monitor to deliver our newsletter. We use Campaign Monitor software to help gather statistics on opening rates and clicks on links which helps us monitor and improve our communications. Individuals can unsubscribe at any time from newsletters by clicking the unsubscribe link on each e-newsletter. You can view Campaign Monitor’s privacy notice here.
You have the right to lodge a complaint with the Information Commissioners Office (ICO) if you believe your data has been processed in a way that does not comply with data protection. You can do so by calling the ICO helpline on 0303 123 1113 or via their website.
